Vamalio DentalFlow

Recover chair time from cancellations and no-shows.

DentalFlow is a receptionist-first capacity recovery system for private, mixed and NHS dental practices. It handles both advance cancellations and same-day no-shows. When chair time becomes available, DentalFlow calculates the usable remaining window, identifies suitable patients whose treatment can fit, checks urgency and practical attendance, and launches timed offers so staff do not have to manually ring through a list.

Built for reception and practice teams

A browser-based recovery desk for the practice computer.

DentalFlow can run as a web app on a receptionist's desktop or laptop and sit alongside the existing practice-management system. It does not require the original treatment type to be preserved. The key question is: what clinically appropriate appointment can use the remaining chair time safely and profitably?

Cancellation recovery

Match a released slot to patients needing compatible treatment before the appointment starts.

No-show rescue

When a patient fails to arrive, calculate the remaining usable time and immediately search for shorter appointments that can still fit.

Cross-treatment matching

A lost 60-minute root-canal slot can become a 20-minute examination, 30-minute emergency or other suitable treatment if the clinician and time window allow.

Example: 3pm no-show

Do not waste the remaining 50 minutes.

0115:00 root canal booked

The original appointment occupies 60 minutes.

0215:10 marked no-show

DentalFlow detects that roughly 50 minutes of chair time remain.

03Latest arrival calculated

The system determines, for example, that a 20-minute examination could start at 15:30 and still finish before 16:00.

04Nearby candidates contacted

Patients suitable for a 20–30 minute appointment receive: “Can you arrive by 3:30pm?”

05First valid acceptance locks

The replacement appointment is booked and competing offers close.

Matching logic

Fit the right appointment into the remaining window.

Duration first

Only treatments whose booked duration fits inside the remaining chair window are considered.

Clinician capability

Match only appointment types that the available dentist, therapist or hygienist can undertake.

Arrival feasibility

Use a realistic latest-arrival time, patient travel estimate and short-notice availability before sending an offer.

Urgency and value

Configurable policy can prioritise emergency need, waiting time, clinical priority or commercial value without making clinical eligibility decisions.

Timed broadcast

For very short windows, contact several suitable patients at once and lock the first valid acceptance.

Audit trail

Record trigger time, candidate selection, offers, responses and recovered chair minutes for reporting.

Commercial model

Suitable for one practice or a national dental group.

Independent practice

Monthly SaaS licence with a simple receptionist dashboard and configurable recovery rules.

Multi-site dental group

Central administration, practice-level permissions and reporting across multiple clinics.

Enterprise integration

API/integration model for larger providers that want DentalFlow connected to existing patient and appointment systems.

Important: DentalFlow does not decide clinical suitability. The practice-management or clinical system remains the source of treatment requirements and eligibility; DentalFlow automates the operational matching, timing and contact workflow.
Cancelled or no-show. Recover what is still usable.

A controlled pilot can measure appointments recovered, chair minutes saved, response time and estimated revenue/capacity value.
