The operational problem

A cancelled slot has value only if somebody can use it.

Existing patient portals and booking systems can expose cancellations, but the difficult short-notice cases still require fast decisions: who is clinically appropriate, who can physically arrive in time, whether transport is a dependency, how they should be contacted, and who gets the slot when several people respond.

Time is limited

A slot becoming free hours before a clinic leaves little time for staff to manually work down a waiting list.

Eligibility is not enough

A patient can be clinically suitable but practically unable to reach the hospital before the appointment starts.

Manual recovery does not scale

Repeated telephone calls, voicemail, re-checking and rebooking consume staff time while the clinical capacity remains at risk.

A cancellation or released slot arrives from the source booking/PAS/EPR workflow.

02Match

The NHS source supplies candidates already suitable for that appointment plus only the operational attributes required.

03Check

RecoveryFlow evaluates timing, travel feasibility, short-notice preference and existing transport dependencies.

04Offer

Appropriate patients are contacted using the configured digital or voice strategy with timed acceptance windows.

05Recover

The first valid acceptance locks the offer, competing offers close and the result is returned to the source workflow.

RecoveryFlow's pilot model is intentionally narrow. The Trust provides its own baseline cancellation and refill figures. The pilot then records exactly which additional slots RecoveryFlow recovered and how long each recovery took.

Transport-aware recovery

Don't offer somebody a slot they cannot reach.

Where the NHS source indicates that a patient already requires non-emergency patient transport, RecoveryFlow can consult a transport-feasibility service before making a last-minute offer. This is intended to complement — not replace — existing transport eligibility decisions and commissioned providers.

That creates the foundation for a future Vermalio TransportFlow module: appointment capacity and transport capacity can be coordinated in the same recovery transaction.
